Shipping Administrator

The International Shipping Administrator we require plays a vital role in coordinating the global movement of industrial-packed goods, heavy machinery, and oversized cargo. Working within a specialist export packing and logistics environment, this role ensures that all shipments-whether standard freight, out-of-gauge loads, or custom-crated industrial equipment-are dispatched safely, compliantly, and on schedule.

Key Responsibilities

* Coordinate international shipments for industrial-packed goods, heavy machinery, and oversized cargo via air, sea, and road freight.

* Work directly with international carriers, freight forwarders, and project-cargo specialists to arrange bookings, secure competitive rates, and manage complex load requirements.

* Prepare and verify all export documentation, including commercial invoices, packing lists, certificates of origin, and customs declarations.

* Ensure accurate communication of packing specifications, weights, dimensions, lifting points, and load-handling requirements to carriers and logistics partners.

* Manage the logistics of out-of-gauge and abnormal loads, including permits, route planning coordination, and compliance with regional transport regulations.

* Track shipments from collection to final delivery, proactively resolving delays, customs issues, or carrier-related challenges.

* Maintain detailed records of shipments, packing documentation, compliance requirements, and freight costs.

* Communicate shipment updates to internal teams, customers, and global partners.

* Ensure compliance with international trade regulations, Incoterms, and destination-specific requirements.

* Process freight invoices, monitor carrier performance, and support cost-control initiatives.

* Collaborate closely with the industrial packing team to schedule collections, manage dispatch timelines, and ensure accurate labelling and documentation for all cargo types.

* Support continuous improvement across the packing, project cargo, and logistics workflow.

Skills & Qualifications

* Proven experience working with international carriers, freight forwarders, and customs brokers, particularly in industrial or oversized cargo environments.

* Background in international shipping, logistics, export packing, or project cargo administration.

* Strong understanding of export/import regulations, customs procedures, and documentation requirements.

* Familiarity with Incoterms, heavy-lift logistics, and out-of-gauge cargo handling.

* Excellent organisational skills and attention to detail, especially regarding technical packing specifications and compliance.

* Strong communication skills for coordinating with carriers, customers, and internal teams.

* Ability to manage multiple complex shipments and deadlines in a fast-paced environment.

* Proficiency with logistics systems, ERP platforms, and Microsoft Office.

* Problem-solving mindset with the ability to work under pressure.

Preferred Attributes

* Experience with industrial packing, crating, heavy-lift cargo, or project logistics

. * Knowledge of dangerous goods regulations (ADR, IATA, IMDG) is advantageous.

* Ability to interpret technical drawings, lifting diagrams, and detailed packing information.

* A proactive approach to improving processes and reducing delays or documentation errors.
